• Bookings: your name, email address, phone number when provided, appointment details, sauna preference, guest selections, purchases and waiver acknowledgments.
• Event inquiries: your name, email address, phone number, preferred date and time, venue, group size, occasion, how you heard about us, and any requests or notes you provide.
• Communications: information you choose to share when you call, text, email or otherwise contact us.
• Payments: payment and billing information handled through our payment service providers, along with transaction records associated with your purchase.
• Website use: technical and usage information collected through our website providers, such as IP address, browser and device information, pages visited, referral information and interactions with the site.

Please avoid including unnecessary sensitive information in general inquiry forms or messages.

How we use information

We use information to arrange and manage visits, respond to questions, plan events, process transactions, manage passes and memberships, send booking confirmations and related follow-up communications, maintain waiver and business records, and understand how our website is used. We do not use customer contact information to send promotional emails or texts. Our customer communications concern bookings, visit follow-ups, inquiries and related service matters.

Providers and disclosures

We use Squarespace to host our website, Acuity Scheduling for online appointments, and Jotform for event inquiries. Information is also handled by providers supporting payments, communications and record storage as needed for those services. Staff and service providers may access information to carry out their work for Acorn & Oak.

Provider policies describe their own processing: Squarespace and Acuity privacy policy and Jotform privacy policy. Those policies complement this policy; they do not replace our explanation of how we use your information.

We may disclose information when required by law or when reasonably necessary to protect rights, address fraud or resolve a dispute.

We do not share customer contact lists with event partners for marketing or upload customer lists to advertising platforms. This is separate from the information our service providers handle to operate our website, bookings, payments and inquiries.

Cookies and website analytics

Our Squarespace website uses cookies and similar technologies for website operation and analytics. You can manage cookies through your browser settings. Blocking cookies may affect some website or booking functions. When you follow links to booking, inquiry, social media or map services, those providers may collect information under their own policies.

Browser privacy signals: we have not added a separate response to browser Do Not Track signals on our homepage. Squarespace states that it does not currently recognize or respond to Do Not Track signals. Its privacy policy separately describes its response to Global Privacy Control in California for information it controls. These are different signals, and this does not mean all collection by every linked service stops.

Collection across websites: third-party services you use through our website may collect information about your activities over time and across other websites, subject to their own policies and your settings. For example, Jotform describes advertising partners using cookies and similar technologies to collect activity on its website and other sites. We do not upload customer contact lists for advertising.

Your information and choices

We will assess requests under applicable law and explain when we need to retain information for transaction records, legal obligations or the protection of legal rights.

We use reasonable safeguards appropriate to the information and services involved. No method of transmission or storage is completely secure.

We will post updates on this page and revise the effective date. For material changes, we will also provide a prominent website notice or contact affected customers directly when appropriate or required by law.
